This feature is currently in Run.
Organization Admins can now see last accessed data for their organization’s users in DISCO Ediscovery, providing a deeper understanding of their organization’s activity in the platform.
Important: User access data collection began 09/21/23. If a review database's last access or a given user's last access in that review database was on or before 09/21/23, this access was not recorded and the "Last accessed" column will display "N/A" for that review database and user.
Matter landing
From the matter landing page, click into the matter card to see the "Last accessed" column, which displays the duration of time since a user accessed the database. Users can click the duration associated with the respective database to see that database's user access modal.
User access modal
The user access modal displays each user that has accessed a given review database, including the user's database role, the user's timestamp of last access, and the duration of time since the user accessed the database. If a user was added to a given review database but never accessed it, the user does not display within the modal. The most recent access of organization admins who are not formally added to the database does display, but the database role is displayed as an em dash "–". Similarly, if a given user was removed from a database, that user's last access continues to display in the modal but the user's database role now displays as an em dash "–".
Organization metrics
Last accessed data is also available in the Metrics – Current data usage table. To access Metrics, click on Metrics in the Organization Manager main menu.
In Metrics, information is broken out into two sections:
-
Current data usage
-
Data events
By default, you will be taken to Metrics – Current data usage.
Current data usage
The current data usage view presents information about overall data volume usage by the organization, a breakdown of the data usage by review database, as well as users' last accessed data by review database. Users can leverage the filters and search functionality to narrow down the information in view or locate a specific database. To further leverage and manipulate the data, users have the ability to export the information to either an Excel or CSV file format. Users can also click the duration associated with the respective database to see the user access modal for that database, which displays each individual's last access timestamp.
