How to tag documents

There are two ways to tag a document in DISCO: mass tagging (in search) and individual tagging (in the document viewer).

Individual tagging in the document viewer

Tag an individual document in the document viewer by typing a tag into the tag field under Tags in the left panel.

When you start typing, all tags with those letters will appear underneath in a list. Depending on your permission levels, you may also be able to add a new tag with the term you typed.

Once you've added a tag to the field, it is automatically saved to the document. You do not need to do anything further.

If you also want to add the tag to documents related to the document you're viewing, select the menu next to Apply changes to

When tags are created, they are automatically assigned a keyboard shortcut. Tag shortcuts are in the format of SHIFT + [Letter or Digit] (i.e., hold down the shift key, and type a single letter or numerical digit). The letter will generally be the first letter of the tag name (if the first letter is already in use, this defaults to a subsequent letter in the tag name, or any unused letter or number if necessary). The shortcuts for each tag are shown in the tag menu in the document viewer. Keyboard shortcuts will only be assigned for the first 36 tags created (26 letters + 10 numerical digits).

Administrators and reviewers may also override DISCO assigned shortcut using Custom Tag Shortcuts feature on the Tag Groups page. Using Custom Tag Shortcuts, specify which shortcuts you want to use to apply each tag.

Your tag propagation settings will determine if the changes applied to the current document will always be applied to attachments and/or all family members as well. To have all tag changes also apply to all emails in the current email’s conversation as well, check the “Apply tag changes to entire conversation” checkbox before making tag changes.

 

 

Mass tagging in search

The purpose of mass tagging is to apply tags in bulk to documents in a search result set. To use mass tagging, first run a search. Next, you can either tag the entire search result set, or choose particular documents in the set using the check boxes to the left of each document row. In the upper right corner of the search results, choose the “Tag” button. In the mass tag dialog, you have the following options:

  1. Apply Tag(s) - tag(s) to add to the documents
  2. Remove Tag(s) - tag(s) to remove from the documents
  3. Apply tag changes to related documents (Tag Propagation)
    1. Attachments of search results
    2. Family members of search results
    3. Emails in the same conversation as search results

The system will then begin mass tagging all of the search results or selected rows. This process may take some time, depending on the number of documents to be tagged. DISCO will notify you once the mass tagging completes.
