Your new database has document annotations
DISCO annotations lets you add color-coded notes to documents, similar to highlighting and writing on paper, but digitally. You can easily categorize and find these notes. This works on different types of documents, including PDFs and spreadsheets. You can customize the color of your notes and add reasons to them. It also allows you to quickly jump between your notes, making it easier to navigate through long documents.
This feature is in Walk.
Getting Started
Open your desired document in the document viewer. Look for the annotations dropdown on the left side of the palette menu.
Click on the annotations area in the palette to start creating your first annotation. You'll be prompted to 'Click and drag to create an annotation'.
Click within the document viewer to start drawing your annotation on the document.
To change the highlight color of your annotation, click on the yellow box in the tooltip menu beneath the annotation you've drawn.
You can create multiple annotations in various colors on the same document.
You can assign an (optional) reason for your annotation or select from existing annotation reasons.
Type your new reason, it will be added to the drop down menu subsequently.
You may also add a note to your annotation by typing in the notes field.
To save your annotations, click 'Save annotations' in the annotations area on the left. Your annotations will then be saved and linked to the document.
When reviewing your annotations, you can identify those with notes by the lines inside the icon in the top right corner. An annotation with a note or reason will have lines inside the speech bubble icon.
For example this annotation does not have a note inside it as the speech bubble icon is empty.
You can create overlapping annotations on existing ones.
All annotations are recorded in your document's audit history.
For annotating spreadsheets, first select the cells you wish to annotate by dragging inside the spreadsheet.
The annotations menu on the left will change, and a button will appear saying 'Add annotations to [cell range]'. Click this button to add your annotation.
Overlapping annotations can be created in native spreadsheet viewers, similar to PDF annotations.
To delete an annotation, click the trash can icon while editing it.
Alternatively, you can delete all saved annotations from the left-hand annotations menu.
In the main search view, you can use filters and the search builder to find documents with annotations or specific types of annotations.
You can also batch print your annotations from the search view. Click the batch print icon, then 'Output settings' tab, and ensure 'Include annotations' is checked (it's off by default).
Once your batch print is ready you can see your annotations in the output.
Your annotation notes and reasons themselves are at the end of the batch print file.
Lastly, we have search syntax with Annotations that you can use in the search viewer in addition to filters and search builder.
