Document list exports allow you to create custom metadata reports in XLSX format. These reports are commonly used for privilege logs, tracking review progress, or auditing work product like tags and notes.
How to export a document list
Search for the documents you want to include or select specific rows using the checkboxes in the search results.
Click the export document list icon in the toolbar.
Choose your export settings:
- Metadata fields: Select individual fields or a saved view to determine which columns appear in the spreadsheet.
- Report type: Choose Document List for one row per unique document, or Instance Report if you need a row for every duplicate occurrence.
- Reason for download: Select a category for the audit log.
Click Generate document report.
Download the file from the popup notification or retrieve it later from the Reports page.
Technical considerations for administrators
Export privacy and permissions Every export is private to the user who generated it. Other users cannot see or download your reports from the Reports page. Additionally, reports respect object-level security; if a user does not have permission to see a specific tag or field in the DISCO viewer, that data will be omitted from their export.
Instance reports vs document lists A standard document list uses the DISCO Document ID as the unique identifier. If your workflow requires seeing every original file path or every custodian associated with a document, select Instance Report. This is particularly useful for identifying where specific duplicates reside across the workspace.
Scalability For sets exceeding 100,000 documents, the export may take several minutes to generate. You do not need to stay on the page; the job will continue in the background.

Q: Why is the export icon missing?
A: The icon is only visible if your user role has the Export Document List permission enabled.
Q: Why are my notes or tags missing from the spreadsheet?
A: Fields must be explicitly selected during the configuration step. If they were selected but are blank in the Excel file, verify that you have permission to view that specific work product.
Q: Does the export include family members?
A: The export only includes the documents currently in your search results. To include attachments, use the family expansion toggle in the search bar before starting the export.
Q: How is the data sorted?
A: The XLSX file follows the sort order active in your search results at the moment you click the export icon.
Q: Can I export images or natives here?
A: No. This tool is for metadata and work product only. To export physical files, use the Mass Action Download or the Production tool.
