Prerequisites
- Your role must include the Share Documents / @Mention Users permission. If you do not see the @ icon when writing a note, contact your matter admin to update your role.
- The person you mention must be a member of the matter.

Mentioning a user in an annotation
1. Highlight a section of the document you want to annotate.
2. Open the annotation panel. Select a reason from the dropdown if your matter has annotation reasons configured.
3. Write your note describing the reason for the annotation.
4. Type @ or click the @ icon to display a list of matter members.
5. Start typing a name to filter the list, or scroll to find the user.
6. Click the username. The mention appears as a styled tag in your note. Save the annotation.
Mentioning a user in a document note
You can also @mention users in document-level notes, outside of highlighted annotations. Open the notes section for the document, write your note, type @ to mention a user, and save.
Notifications
Mentioned users are notified in three scenarios:

| You mention a user in a document note | "[Your name] has mentioned you in a document note." |
| You edit an annotation that contains mentions | "An annotation that you've been mentioned in has been updated." |
In-app: Notifications appear in the notification bell on the user's next session.
Email: An email is sent with a direct link to the annotated document.
Annotation reasons
Annotation reasons are predefined categories configured by your matter admin. When creating an annotation, you can select a reason to classify it. These are managed options, not free-text fields. Contact your matter admin to add or modify available reasons.
Troubleshooting
| Symptom | Cause | Resolution |

| @ icon does not appear | Your role lacks the "Share Documents / @Mention Users" permission | Contact your matter admin to update your role |
| User not in the mention list | User is not a member of this matter | Ask your matter admin to add them |
